Privacy policy

This policy explains how The Poultry Guy handles personal information, in line with the Protection of Personal Information Act, 2013 (POPIA). The Poultry Guy is a business based in Cape Town, South Africa, operated by Daniel as a sole proprietor, who is also our Information Officer. Contact: daniel@thepoultryguy.com, 066 291 9888.

1. What we collect

• Transport requests: your name, company, phone number, email, and the details of your load, including pickup and delivery addresses.
• Carrier applications: your name, company, contact details, vehicles and areas. Later, the documents listed in our carrier terms, which may include ID numbers, driver's licence and PrDP details, insurance details and bank details.
• Messages: what you send us by WhatsApp, email or phone.
• Load records: quotes, booking confirmations, delivery notes and temperature photos.

2. Why we use it

• To respond to your request and arrange your transport.
• To check carriers before they move goods for our customers.
• To invoice, pay carriers, and keep financial records.
• To handle claims and disputes.
• To meet legal obligations, such as tax record-keeping.

We don't sell personal information, and we don't send marketing messages unless you've asked us to.

3. Who we share it with

• Carriers: the pickup and delivery details and site contacts they need for your load.
• Customers: the carrier's name, vehicle registration and driver contact details for their load.
• Service providers that help us run the business: our website host Netlify, which receives and stores website form submissions and may process them outside South Africa; our email provider; and WhatsApp (Meta) for messages. We use providers that protect personal information to a standard comparable to POPIA.
• Authorities: where the law requires it.

4. How long we keep it

We keep personal information only as long as we need it for the purposes above, or as long as the law requires (for example, financial records are kept for at least 5 years). Unsuccessful carrier applications are deleted within 12 months.

5. How we protect it

We keep information in password-protected accounts and devices, limit access to what's needed, and ask carriers to treat customer information as confidential.

6. This website

This website doesn't use tracking or advertising cookies, and doesn't use analytics that identify you. Our host keeps standard server logs. The site's fonts are loaded from Google Fonts, which means your browser connects to Google's servers and shares your IP address with them.

7. Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it, or object to how we use it. Contact us at daniel@thepoultryguy.com. If you're not satisfied with our response, you may complain to the Information Regulator of South Africa (inforegulator.org.za).

We may update this policy. The current version is always on this page.
